How to set up the Administration module

Administration is where you configure everything about your clinic and the people working in it — your hospital details, operating hours, staff logins, doctor profiles and your pricing. This is the full walkthrough of the module. Most of it you set once during onboarding and rarely touch again.

Before you start

  • Your clinic's address and phone number — as it should print on bills
  • Your operating hours — including different days if they vary
  • Each staff member's email and mobile — for their logins
  • Consultation fees for each doctor
  • Registration module and council details — for each doctor

Steps

Eleven steps across clinic details, people and pricing.

Open Clinic Management

Go to the Administration module by clicking the module name at the top right, then click Clinic Management in the main navigation.

Set your basic details and print options

Click Basic Details to edit your clinic information. Three fields here decide how your bills behave:

Consultation Validity — how many days a free consultation stays valid. This value prints on your bill. Show Logo In Print — whether your logo appears on printed bills.

Show QR Code In Print — whether the QR code prints on your bill.

Click Submit to save.

Add your contact details

The next section is Contact Details. Click it to enter your address and hospital phone number. Both print on your bills, so check them carefully.

Set your operating hours

Click Timings to enter your hospital hours. You can set different timings for different days, and add multiple slots in a day where you break for lunch or run separate sessions. Patients see this as your availability.

Add staff members

Click Staff Management in the main navigation, then Add. Enter their name.

Two fields control patient access: Enable Patient lets them enter patient history and allergies, while Enable Patient History gives detailed record access — useful for clinical assistants who need to work with a full patient record.

Enter their email, password and mobile number. These are their login credentials.

Then assign roles. OPD Admin can view day-end reports; a regular user cannot. Decide this deliberately, since day-end reports show your daily collections.

Click Save. To change anything later, click Edit on their row and save again.

Add doctors

Go to Doctor Management. Adding a doctor works like adding staff, with a few extra fields:

Set the Consultation Fee, and add the Registration Module and Registration Council details. If you have the Website module, turn on Show In Website to publish the doctor's profile.

To edit an existing doctor, click Edit in the doctor list. General Information is where you upload a photo or change basic details — click Submit when done. Control Settings is where you adjust the consultation price and related options.

Set additional consultation prices

Doctors often charge different rates for different kinds of visit — ₹500 for a normal consultation, ₹1,000 for a tele-consultation, for example.

In the Additional Consultation Prices section, click Add, name the rate, and set the amount. You can edit or delete them later. These appear as options when someone books an appointment with that doctor.

Add other charges and consultation types

Some clinics charge for new patient registration or other services. Go to OPD Additional Prices, click Add, name the charge, set a price, and set the status to active. These show up when creating consultation bills.

Finally, go to Consultation Types. This categorises appointments when they're booked. Three come as standard — New, Free and Paid — and you can add your own. Click Add, name it, mark it as Free or Paid, and set the status to active. It then appears in the dropdown at appointment creation.

Notes

  • Your address, phone number and consultation validity all print on patient bills.
  • Day-end report access is controlled by the OPD Admin role.
  • Additional consultation prices appear as options when booking an appointment.
  • Social media links, doctor timings and holidays only apply with the Website module.
  • EMR Type and EMR Theme are explained in the EMR module guides.

Common questions

Who can see day-end reports?

Only staff assigned the OPD Admin role.

How do I charge a different rate for tele-consultation?

Add it under Additional Consultation Prices on the doctor's profile. It becomes a selectable rate when booking.

Can I set different timings for different days?

Yes, and you can add multiple slots within a single day.

What does Enable Patient History do?

It gives a staff member detailed access to patient records. It's mainly used for clinical assistants.

Do I need to add every consultation type myself?

No. New, Free and Paid are there by default. Add custom ones only if you need them.
